We are looking for:

Virtual Program Administrator

(English and French)
Remote position

The Program Management Team is responsible for successfully managing the life-cycle of training requirements with our international clients and to ensure high quality of program set up and training delivery. They need to have ongoing communication with key client decision makers and learners through the duration of training and co-ordinate with the other Learnlight teams to assure we meet and exceed training objectives.

The tasks involved are in the following areas:

  • Managing clients on a day-to-day basis
  • Providing Learner support
  • Using the LL platform to manage courses
  • Reporting on key performance metrics
  • Supporting the team and the wider business with other administrative tasks  

Responsibilities & Tasks:

  • Managing Programs
  • Understanding program requirements, conditions and policies agreed with the client
  • Understanding department workflows and following them for tasks
  • Identifying key client tasks to prioritise
  • Planning, implementing and supervising the necessary measures for the beginning and end of Programs
  • Providing support to our sales team to maximise opportunities with clients and maintain a successful relationship
  • Being the main point of contact for the client (HR department) and provide ongoing communication
  • Offering solutions to clients with any challenges that may arise  

Learners Support:

  • Being communicative with learners
  • Showing empathy with learners
  • Providing ongoing learner support through their program 
  • Use of LL platform and Databases
  • Demonstrating agility and autonomy with the general use of the LL Platform
  • Being meticulous in keeping the information updated in LL - platform
  • Developing knowledge of the different functions of the LL Platform
  • Showing agility and autonomy with the general use of the internal database of the company
  • Being colaborative in giving feedback about the platform and proposing changes
  • Developing competence in using the Program Management Sharepoint site 


  • Reporting on ongoing key Management Information
  • Generating key reports with accurate information and according to the general template
  • Delivering reports in a timely manner
  • Providing pro-active support for any challenges in reports  

Administrative Tasks:

  • Collection of teacher FTFE documents (signature sheets, ..) and delivery of them to the FTFE expert person
  • Delivery of the respective documentation to the client
  • Review of billing attachments with their respective invoices  

Required Personal Skills:

  • C1 level or higher of English and French
  • Additional languages (German, Spanish or Italian) are a plus
  • Excellent communication skills
  • Good Interpersonal skills to interact and work with the team and the wider business
  • Good organization and planning of work
  • Courtesy and kindness in dealing with our clients and learners
  • Excellent time-management skills
  • Have a global business vision of the wider Learnlight team  

Required Technical Skills:

  • Advanced level of Office (mainly Word, Excel and PowerPoint)
  • Good general IT skills with a pro-active approach to learning new system 


Contract: Freelance / Private Contractor / Sole Proprietor
Hours: Full time
